Overview

GNA (now called CTS at TRC), the nation's leading clean transportation and energy consulting firm, is seeking a Program Coordinator to join our growing team based in our Santa Monica office. This is an exciting opportunity to leverage your proven project/program management expertise to support a range of tasks such as grant writing, external & internal stakeholder management, and exceeding budget goals.

This position will provide support for the Programs Team, which includes the following job responsibilities:


Responsibilities

Programs Team Support:

  • Prepare summaries of available grant opportunities for distribution to existing and prospective clients; alert team members of opportunities that have closed.
  • Lead grant/incentive application and reporting efforts in the clean transportation sector.
  • Maintain and add contact information in database.
  • Manage internal resource and external client project communications management.
  • Communicate regularly with the accounting team regarding preparation of labor reports, rate sheets and invoices, DelTek vision setup, expense reports, and remaining budget totals.
  • Manage electronic and printed tracking mechanisms including the procurement registration worksheet, submitted grant files, and grant statistics worksheet.
  • Maintain and create project plans in database.
  • Assist in the development of contracts for new clients or expanded scopes of work.
  • Provide expert-level support in project planning and 18-month projections, including publishing regular financial and project reports for senior managers.
  • Identify, develop, implement, and maintain efficient workflow and management practices, process and procedures.
  • Implement, deliver, or support performance reviews for staff/direct reports.
  • Implement budget and contract management efforts, including proactive contract renewals.
  • Demonstrated excellence in producing written deliverables such as grant proposals, funding incentive applications, research reports, policy briefs, or marketing/advertising collateral is required.
  • Schedule internal and external calls and meetings and prepare packages for mailing.
  • Create and update meeting materials including agendas, PowerPoint decks, meeting minutes.
  • Tracking and updating of internal programs Excel spreadsheets.
  • Update GNA's statement of qualifications and register GNA as a supplier for prospective bid opportunities.
  • Lead external and internal project and incentive application management, including cross-department efforts.

Qualifications

  • Bachelor's degree in communication, business, policy, or a related field is required. Master's Degree in related field is preferred.
  • 2 years of experience in a project/program manager and administrative manager roles.
  • Experience working with alternative fuels, advanced transportation technology, renewable energy, air quality, or energy policy is a plus.
  • Experience in the transportation, energy, environmental, logistics, infrastructure, financial, or governmental sectors is preferred.
  • Proficiency with MS Office, Microsoft Outlook, Word, Excel, Teams, PowerPoint, Sales Force, Adobe, Asana
  • A competitive candidate has exceptional organizational/time management, project management, research, analytical, communication, facilitation, and interpersonal skills.
  • Must be able to learn from constructive criticism and adapt to rapidly changing project needs and competing priorities.
  • Outstanding oral, written, communication and organizational skills (grant writing skills and experience required.) Able to submit writing samples.
  • Demonstrated project management excellence, including task allocations, staff management, delivery gates, and invoice management.
  • Success with external and internal stakeholder relationship management (including issue identification and mitigation)
  • Success in identifying and implementing efficient business practices, workflows, process, procedure and/or management approaches.
  • Excellence in meeting or exceeding project budget goals, financial modeling, budget projections, and future staffing requirements.
  • Ability to work on a computer for the majority of the day.
  • Ability to work in a fast paced, deadline driven environment.
  • Ability to travel up to 10% of the time.
  • Technical and analytical expertise in the environmental and energy domain or in the communications and public relations domain is a plus.
  • Fluency in English is required, Spanish is a plus.

Work Location:

This position will require the successful candidate to work in Santa Monica, CA with a hybrid remote work schedule available at the Manager's discretion.

In accordance with local law, the following compensation range is applicable for the job and location associated with this requisition: $65,000-$75,000. Compensation will vary based upon experience, education, skill level, and other compensable factors.

Salary Range
