SUMMARY

KDC Inc. seeks a friendly, outgoing, well-organized front desk receptionist to join our incredible team. The ideal candidate must perform routine clerical and administrative functions such as drafting correspondence, ordering and maintaining coffee machines and kitchen stock, organizing, and maintaining paper and electronic files, greeting clients and visitors, alerting staff regarding arrivals, answering phones, sorting, and distributing mail. He or she must be dependable, punctual, organized, and have demonstrated ability to juggle multiple priorities in a busy office. He or she will also be responsible for assisting the accounting department with payroll data entry, certified payroll reporting, sorting, scanning, and other administrative duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Other duties may be assigned by management.

  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Greet visitors or callers and manage their inquiries or direct them to the appropriate persons according to their needs.
  • Perform daily maintenance of coffee machines, including restocking, ordering, and maintaining adequate inventory.
  • Operate office equipment, such as fax machines, copiers, postage meter, or phone systems and arrange for repairs when equipment malfunctions.
  • Sorting, scheduling, and distributing of incoming and outgoing mail.
  • Preparing invoices for Accounts Payable department. May include data entry.
  • Use computers for various applications, such as database management or word processing.
  • Review, correct and enter time sheets into payroll software.
  • Review and enter certified payroll into online databases and distribute as appropriate.
  • Process and distribute necessary reports internally and externally.
  • Maintain confidentiality of company information.
  • Perform additional assignments as required by the company or as directed by management.

QUALIFICATIONS

POSITION REQUIREMENTS/PREFERRED EDUCATION and/or EXPERIENCE

  • 3 - 5 years working in an administrative job, supporting management.
  • Must demonstrate proficiency in Microsoft Office applications, (i.e., Outlook, Word, and Excel).
  • High school diploma or GED required.
  • Working knowledge of project and financial software a plus.
  • Working knowledge of the construction industry and certified payroll a plus.
  • Working knowledge of federal, state, and city regulations and guidelines.
